Accounts Management

Each company is given an id code of up to six characters, and an additional 2-digit code for each contact at that company. ProStock creates an umbrella account to summarize the activity of all contacts, which can be up to 99 per company (per location).

Full company histories are kept, with complete listings of account balances, accounts receivable, and sales. Payments and credits can be posted directly to the account ledger.

Payments are easily posted by clicking on the invoice(s) and entering your client’s check number. ProStock automatically makes all necessary account entries, including automatic creation of photographer commissions

Delivery Memos (or consignments) are easily prepared. Client information is drawn from the client database (or a new client may be entered into the database while preparing a memo). Images can be entered onto the memo with a barcode reader, typed in directly, or transferred from a keyword search.

Electronic Delivery Memos can be created in a few simple steps, then emailed to clients, or posted on your Website in private locations.

ProStock keeps a full history of image submissions, overdue images, and returns. Print reminder letters, overdue notices, and image-history reports. Delivery memos may also be automatically converted to invoices with the touch of a button.

As with Delivery Memos, ProStock Invoices are easily customized. You may design the Invoice form to print your letterhead and company logo, or you can print a formatted Invoice directly on company letterhead. ProStock Invoices are comprehensive: full customer and header information is combined with marketing and usage data, to provide you with complete billing, marketing, and sales reports. Invoices may contain licensing fees as well as assignment billings and other various charges. Invoice rights may be entered by hand, or inserted from saved boilerplate text. Digital images may be printed on the Invoice!

Printed Delivery Memos may be completely customized. ProStock can print the memo on one printer, a courier form on a second printer, and barcode labels for the images on a third printer--all at the same time!

ProStock simplifies tracking and paying commissions to photographers and salespersons by automating the process. When invoices are prepared, photographers' and salespersons' accounts are flagged for commissions.Then when your client pays an invoice in full, ProStock can automatically prepare commissions payable with the proper terms.

ProStock displays and prints Commission (Royalty) reports in many different formats. On printed statements to photographers, you can add complete information about the sale: marketing information, usage information, conversion rates, and even the printed thumbnail! Commission reports can be designed to cut a check, and print the commission information on the check stub.
